Documentation is the itemit PowerUp for asset documentation: it keeps manuals, warranties, certificates and links in one workspace library and attaches them to assets by rule instead of one upload at a time. It works by building document groups, each a named set of files scoped to every item or to chosen items, collections or locations, so any matching asset picks the files up automatically. The main use cases are equipment manuals across a fleet, safety certificates on hire equipment and warranty documents on IT assets. Common features include tags, a usage count per file, a choice of where documents appear on the item profile, and support for PDF, Word, Excel, CSV, images and video. The library holds external links too, so a manufacturer support page can sit alongside the manual.

The Problem

The same manual, warranty or safety certificate ends up uploaded against dozens of assets one at a time. When a document is superseded nobody can reliably find every copy, so half the register carries on showing the old version.

The Solution

Upload once and let the scope rules decide which assets receive it. Replace a file in the library and every item using it is current, and the usage count tells you exactly what a document is attached to before you change anything.

A hire company uploads one operating manual and a PDF safety certificate, then creates a group scoped to the Excavators collection. Every excavator in the register now shows both documents on its profile, and when the certificate is renewed they replace a single file.
